Foundation
Administrative associate for the World Language Programme
Part-time – 10 hours per week over 40 weeks (across all three campuses)
Responsibilities:
Support the organisational structure
- Support the Foundation Lead of the World Language Programme
- Reporting and tracking attendance/absences of staff and students
- Coordination of attendance and registrations for WLP World Language Programme Extra Curricular Activities
- Handle correspondence (letters, emails, etc.) of the World Language Programme
- Maintain online extra-curricular data
- Assistance in creating schedules and booking rooms
- Assistance in planning World Language Programme for the following year
- Assist Coordination of examinations (e.g. DELF, etc.), verification of registrations and teachers
- Updating the substitute teacher list in the database to cover absences
- Order equipment for the department and track orders
- Any ad hoc administrative tasks (word processing, creating spreadsheets, presentations)
- Assistance with projects such as the World Language Programme celebrations and ‘open houses’
- Regular feedback to the World Language Programme Foundation Lead
- Provide material for possible programme promotion through social media
Provide students direction and support
- Be approachable and available to support students in need through a caring personality
- Participate in the admission of students if necessary (creation and updating of student data)
- Acting directly with students, parents and teachers to prevent incidents and check anomalies (e.g. emergency cards data missing)
- Adding student reviews
- Creating attestations and certificates of enrollment
- Work on timetabling
Ensure up to date and functional technology
- Publish and update ECA registration platform
Candidate requirements:
- Higher school / Technical diploma in a relevant field
- Between 2-4 years of work experience as an administrative assistant
- Bilingual French/English. Other languages an asset
- Caring personality who enjoys working with young adults
- Good teamwork and active listening skills
- Flexibility and adaptability
- Strong ICT skills (Google environment)
- Excellent organisational skills in order to increase department's performance
- Able to work autonomously, review work and provide feedback
- Self-reflective and able to solve complex problems
- Experience in support with budget and accounting
- Previous experience in an IB school an asset
