ADMINISTRATIVE ASSISTANTS - ON CALL

Could be deployed on any of the 3 campuses for each mission (missions’ duration may vary from a few hours to a few weeks/months).

 

Job purpose:

  • Part of a team in the administrative office of the Primary or Secondary schools, reporting to the School Office Administrator or the Campus Administrator or the Foundation departments.

 

Responsibilities:

Support the smooth functioning of the office in administrative tasks:

  • Students admissions process / leaving students procedure
  • Support with students' admissions files
  • School correspondence (letters, attestations, emails, etc)
  • Organisation Parents & teachers evening
  • Equipment order for the department and track orders
  • Other administrative tasks including translations, creating spreadsheets, presentations
  • And any other task delegated by the school office administrator


Provide children direction and support:

  • Approachable and available to support children in need through a caring personality
  • Participate in the admission of pupils (creation and updating of student data)
  • Create electronic files for all new children and keep them updated, adding academic reports and other additional reports
  • Creating attestations and certificates of enrolment

 

Ensure up to date and functional technology:

  • Update of the different distribution lists
  • Creating handbooks and updating handbooks

 

Support communications management and relationships building:

  • Assist with organisation of school events: parent teacher conferences, graduation ceremonies, pedagogical days etc.

 

Personal requirements:

  • Secretarial training / Technical diploma in the relevant field.
  • At least 4 years of work experience as an administrative assistant.
  • Bilingual French/English. Other languages are an asset.
  • Caring personality who enjoys working with young children.
  • Good teamwork and active listening skills.
  • Flexibility and adaptability.
  • Strong ICT skills (Google environment).
  • Excellent organisational skills in order to increase department's performance.
  • Able to work autonomously, review work and provide feedback.
  • Self-reflective and able to solve complex problems.
