The Institute of Learning and Teaching was created in 2010 by the International School and Geneva. The Institute serves the Ecolint and wider international community of educators in their quest to refine and adapt education to serve the needs of linguistically, culturally and neurodiverse students, now and in the future. We do this by nurturing preservice and inservice educators and leaders to become research informed, reflective practitioners that continuously develop their pedagogical practice in response to evolving student and societal needs. We do this through initial teacher education, professional development, research and collaboration.

Administrative assistant 20 hours/ week (sick leave replacement)

Responsibilities:

 

Admissions 

  • Support the Head of Business Development in responding to Initial Teacher Education (ITE) applicant inquiries (approx 60 people per year) about admission documentation.

  • Collate, manage and share admission files in an applicant database with the Admissions team. 

  • Provide support for the follow-up of admission documentation, ensuring each candidate file complies with requirements.

  • Import online applications and track each file throughout the admissions process, from enquiry to enrolment. 

  • Create admission interview schedules. 

  • Check completion of all admission documentation and refer any concerns to HoBD.

  • Share information with students about permits, health insurance, RC insurance, Extraits du Casiers, etc.

 

ITE Course Administration

  • Maintain a database of trainee information throughout the course including absences.

  • Contribute to effective ITE document management and preparation of new documents each academic year.

 

Institute Administration 

 

  • Order office supplies

  • Handle registration and payment for external events for the Institute team and manage travel arrangements for the team 

  • Create course completion certificates for all Institute courses

  • Support HOBD to manage the Institute website and create registration pages for all Institute professional development offerings

  • Manage registration and follow-up for language classes with ASC

  • Manage, update and track Institute webpage registrations and payments for all Institute courses

  • Organise in person event room bookings, catering and any other related logistics

  • Provide administrative support to organise online events and courses such as sharing meeting links and course information with registrants

  • Respond to Institute email enquiries and assign to other team members where necessary. 

 

Candidate requirements:

  • At least 5 years of administrative assistant functions including record keeping and public contact

  • Graduation from commercial school or equivalent

  • Previous experience of working in a school would be an asset

  • Enthusiasm, initiative, and flexibility 

  • Strong organisational skills

  • Service orientated and enjoys working in client facing roles

  • Attention to detail and accuracy

  • Capacity to adapt quickly to new IT developments

  • Have the ability to work in French and English

  • Professional tact, discreet and diplomacy when dealing with administrators, staff, teachers, students, parents and community members
